The information we collect
Information you give us — when you enquire, sign up or use our services, including your name, email address, phone number, postal address, date of birth, National Insurance number, proof of identity and address, company details, and financial/accounting information needed to deliver our services. We collect only what is necessary.
Payment information — we collect the bank details needed to set up your standing order or Direct Debit. We do not store full card numbers on the Site.
Information we collect automatically (Device Information) — when you visit the Site we collect technical data such as your IP address, browser type, time zone, the pages you view and how you interact with the Site, using cookies and similar technologies (see “Cookies” below).
How we use your information, and our lawful basis
Under UK GDPR we must have a lawful basis for processing your data. Our bases are:
- To provide our accountancy services (prepare accounts, file returns, run payroll, etc.) — lawful basis: performance of a contract.
- To meet our legal and regulatory duties, including anti-money-laundering (AML) identity checks and keeping records HMRC requires — lawful basis: legal obligation. Note: an AML background check is not a credit check and does not affect your credit rating.
- To run, secure and improve our Site and business, including fraud screening and analytics — lawful basis: legitimate interests.
- To send you marketing, where you have asked for it or otherwise where permitted — lawful basis: consent or legitimate interests. You can opt out at any time.
Cookies
We use cookies and similar technologies to make the Site work, to understand how it is used, and (where you allow it) for analytics and advertising. Non-essential cookies are only set once you give consent via our cookie banner, and you can change or withdraw your choices at any time using the banner / cookie settings. For more about cookies, visit https://ico.org.uk/for-the-public/online/cookies/.
Sharing your information
We share personal information only where necessary, with:
- Service providers who help us deliver our services — for example FreeAgent (accounting software), identity/AML verification providers, insurance providers, and Companies House / HMRC where required.
- Analytics providers such as Google Analytics, where you have consented. You can read Google’s privacy policy at https://policies.google.com/privacy and opt out at https://tools.google.com/dlpage/gaoptout.
- Authorities or third parties where we are required to by law, to respond to lawful requests, or to protect our legal rights.
We require all our processors to keep your data secure and to use it only for the purposes we specify.
International transfers
Some of our providers may store or process data outside the UK. Where we transfer personal data outside the UK, we ensure an appropriate safeguard is in place — such as transfer to a country with UK ‘adequacy’ status, or an International Data Transfer Agreement (IDTA) / approved contractual clauses — so your data receives equivalent protection.
How long we keep your information
We keep personal information only as long as necessary for the purposes above and to meet our legal obligations. Because of the nature of our work, we are generally required to retain accounting and tax records for at least 6 years. Where the law requires us to keep records, we will do so even if you ask us to delete them.
Your rights
Under UK GDPR you have the right to:
- be informed about how we use your data (this policy);
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased (where we are not legally required to keep it);
- restrict or object to certain processing;
- data portability — receive your data in a portable format;
- withdraw consent at any time where we rely on consent; and
- rights relating to automated decision-making (we do not carry out automated decisions that produce legal effects about you).
To exercise any of these rights, contact us at [email protected]. We will respond within one month.
Marketing
We will only send you marketing where you have agreed to it or where we are otherwise permitted to. You can opt out at any time by clicking ‘unsubscribe’ in any email or by contacting us.
Complaints
If you have a concern about how we handle your data, please contact us first so we can help. You also have the right to complain to the UK regulator, the Information Commissioner’s Office (ICO): https://ico.org.uk/, helpline 0303 123 1113.
Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. We will post the updated version here with a revised ‘last updated’ date.
